Tradeshow season is upon us.
Businesses are crisscrossing the country, attending various conferences, and putting their tradeshow banner displays through the wringer. Repeatedly setting up, taking down, packing up, and shipping off display materials takes a significant toll. But your annual trade show display budget won’t budge, no matter how tired your materials happen to look. And the last thing you need is sideways glances from potential customers, surprised at how ragged and beat up your tradeshow booth displays look. So it makes good business sense to take care of your conference marketing collateral by practicing good maintenance.
Here are a few tips for taking care of your tradeshow display systems. With proper maintenance, they can easily last throughout the tradeshow season, and even for years to come!

1. Buy & Use Carrying Cases. A musician would never dream of toting around his or her prized instrument without a case. Likewise, a conference attendee should never carry conference materials without carrying cases. They protect your conference investment against travel-induced dings. The best carrying cases have hard exteriors with protective foam padding inside.
2. Practice Post-Show Maintenance. Before packing up, have an employee carefully inspect each display element for tears, color fading, etc. The faster you spot such problems, the easier it is to get them fixed before the next big event. This same worker can carefully wipe down each banner or graphic along the way. Make sure to leave enough time for materials to dry completely. Finally, take your time dismantling your booth. Many a display has been broken by careless, hurried dis-assembly.
3. Store in a Temperature-Controlled, Pest-Free, Dry Environment. Big temperature swings are hard on display materials. Either keep your conference materials inside your office, or within temperature-controlled storage space. Also, look out for excess moisture, and protect against flooding. Wet storage spaces can cause mold and mildew growth, and water exposure generally ruins tradeshow displays. Rodents and insects may see your tradeshow materials as tasty treats, so make sure your storage area is also pest-free.
And of course, shipping is also an important consideration. Choose a professional, well-known shipping partner. If you’ll be traversing the country frequently, select a ship-shape, centrally located storage facility to minimize shipping costs. When you ship, insure. If something does happen while in transit, you can recover some of the replacement cost. Be sure whomever receives the display inspects the packaging for damage. If there is damage, take photos and file a claim.
